With an opening prayer from Mrs. Alice Borges, the meeting began at exactly 13:20 p.m.
Present at the meeting were Representatives from Stuttgart, Ruhrgebiet, Worms, Saarland, Mannheim-Ludwigshafen, Kaiserslautern, Landshut, München, Darmstadt (as observing Union), Radio Stuttgart (Observer) and Nana Boahene (Advisory Board).
The Host President, Mr. Alfred Aganah gave a short welcome address .
Mr. Kwasi Atta (kaiserslautern) draw the attention of the members to the need for a Porter on such occasion. Mr. Martin Ahenkorah(Worms) was appointed to undertake this job for the day.
After individual introduction, the President (Mr. Kwame Abrefa-Busia) welcomed all members and apologised for the absence of Mr. Ato Annobil (Burial in Ghana) and explained the sudden resignation of the General Secretary Mr. G. Donkor. He also stated that a decision on this
vacant position would be taken in course of the meeting.
On point 2 – Finance Report, the Financial Secretary Mrs Alice Borges explained to the members the reason for the delay in submitting the report and made it clear that it was not easy to get all the receipts from Ghana Union Köln, and added that as at now, certain receipts
are still to be submitted.
Mr.Oppong (Ruhrgebiet) pointed out that their Union has paid its dues but did not appear on the accounts. Mrs. Borges explained that she could only account for something that she can proof with receipts. After a long discussion on this issue, Mr. Kwasi Atta (Kaiserslautern) suggested that
members leave this Accounts issue to our Auditors to clear things up with the Executive and submit its report to the next NRC meeting. This suggestion was accepted by all representatives.
Another suggestion to spring over to point 4 direct since point 3 deals with finance, was also accepted by the members.
The President reminded the Unions who have still not paid their dues up to date to do so.
Point 4 – Sponsorship for NRC Meetings by the UGAG (300 Euro).
The President explained the aim of this proposal being that UGAG gives out an amount of 300 Euro for NRC meeting and local Unions pay 10 Euro each back to the UGAG. After members complaining about too much extra cost for the local Unions, Mr. Oppong proposed that UGAG sponsors Ruhrgebiet with
between 150-200 Euro for them to organize the next NRC meeting. The venue was accepted but members were asked to decide on a fixed amount. With a final result of 5 votes for the amount of 150 Euro against 3 votes for 200 Euro, it was decided that 150 Euro should be paid by UGAG to Host Union
to organize the future NRC meetings.
After a short break, the meeting resumed with Point 5 on the Agenda – Sponsorship for the NEC meetings (With 50 Euro per member). The President asked the members to consider this issue very carefully because no provision for such meetings was made in our Constitution. Without
too much debate on this, it was generally accepted and decision was taken for UGAG to sponsor 2 NEC meetings at 50 Euro per Head.
Point 6 : - Projects in Ghana.
On this issue, all members were sure that it was too early to undertake such projects. A proposal on a Charity project was made and all members were given the task of making thoughts about this topic and bringing their views or ideas to the next NRC meeting to be held in the Ruhrgebiet.
Point 7 :- 1st Anniversary of UGAG in Stuttgart – 27.10.04
On this sensitive issue which nearly damaged the good atmosphere prevailing at this juncture, due to conflicts of ideas and interpretations, it was finally put to vote to decide whether it was too early to organize such a function and what we should do with Stuttgart who have already reserved
a Hall for this occasion. Fact is, a letter written by the President and dated 3.08.04 was sent to all Unions informing them about the proposal to organize the first Anniversary of UGAG in November 2004. Unions were giving the chance to decide on this issue up to the 31.08.04 and to apply to
host this occasion. Because there was no response to this letter from the Unions, the Executive took it for granted that the Unions have accepted the decision, but were not willing to organize it. For this reason, the President and the Social/Organizing Secretary, contacted the President of
Stuttgart and appealed to him to try and organize the occasion, which he agreed and thus also started with its planning. After the acceptance of Stuttgart to host the first Anniversary, the President again informed all the local Unions per E-Mails and letters on the 31.08.2004. Therefore, it
was not acceptable that members turned to act as if they never knew anything about these letters and the proposed Anniversary. With the final result of 2 Votes for 27.10.04, 1 abstention and 5 votes against, members agreed to suspend this occasion for this year and proposed between May and
June next year.
Representatives from Stuttgart were requested to try and get a Hall for this Anniversary next year. Any cost caused by this rejection in Stuttgart, should be paid the UGAG. It was also accepted by the members.
The President made it clear to all Local Unions to get ready to organize this function in case Stuttgart does not find a Hall.
At this juncture, the President appealed to the members to decide on the vacant position of the General Secretary due to the resignation of Mr. Donkor. In a unanimous decision, Mr. Ato Annobil was appointed to act as the General Secretary until the next Executive elections.
Point 8 :- Video coverage.
After the Social Secretary Mr. Commey-Bortsie had explained the outcome of the coverage and the extra demanded costing of 150 Euro from Mr. Ampadu (Producer), the members decided that UGAG should not pay the demanded amount.
Mr. Amponsem (Mannheim) said their Union could make free copied of the video coverage for all local Unions and for that reason, Mr. Commey-Bortsie handed over 2 video cassettes to him ( Mr. Amponsem) to make his said work to be done and also to return them after his duties has been done.
Mr. Commey-Bortsie also reminded the members about the Ghana Airways Tickets that are still in stock. He was asked to make inquiries from the Airline about the prices and the proposed prices should be sent to the Unions to enable them to inform their members about the sales of
the Tickets.
On the issue of letter heads, members rejected cost of € 210,00 for 1000 copies to be done by the printing press. Instead, Mr. Tamakloe (Darmstadt) promised to work on a new UGAG letterheads.
Nana Boahene thanked the members for the work done and prayed that the Almighty Father leads each and every member safely back home. The meeting came to an end at 19:40 .
